The Opportunity

Our client is currently looking for an experienced Office Manager. This position will play a vital role in the organisational strength of our company. The Office Manager will provide administrative support, finance support, development support, greet and direct visitors and answer and respond to calls and emails. Qualified candidates will have impeccable verbal and written communication skills, a strong ability to multi-task and a friendly demeanour.

The Role 

Responsbilities:

  • Draft, format, and print relevant documents (including tenders)
  • Maintaining stock levels and placing orders for office supplies as required
  • Frequent interaction with the company’s senior management team
  • Managing incoming and outgoing post
  • Cooperate with the administrative staff
  • Manage agendas/travel arrangements/appointments etc. for the upper management (VP and above)
  • Support to handle corporate, subsidiary, project budgeting and bookkeeping procedures
  • Create and update records and databases related to personnel, financial and other data
  • Manage the project time reports
  • Liaise with external company to supporting marketing, website functions and updating social media profiles.
  • Arranging meetings, booking rooms, and planning refreshments
  • Deal with telephone and email enquiries, using an email system
  • Organise and store paperwork, documents and computer-based information
  • Create and maintain filing and other office systems
  • Liaise with staff in other departments and with external contacts
  • Assisting accounts department
  • Diary management for staff shared calendars and upper management
  • Shared email inbox management
  • Liaise with external company to coordinate UK and Overseas travel
  • Assisting with annual leave
  • Overseeing health and safety within the office - Liaise with third party for health and safety related matters.
