Job description

​Title: Document Control Coordinator

Location: Lake Mary, Florida, United States (On-site)

The Document Control Coordinator will compile, maintain, and control records and related files, ensuring smooth information exchange between Mitsubishi Power and clients/vendors. This role supports the Quality Control (QC) department with document control activities and general administrative tasks.

Essential Duties & Responsibilities:

  • Assist QC teams with document control for QC, customers, and vendors.

  • Generate and distribute Document Transmittals and inspection notices for client review/approval.

  • Monitor document flow and inspection notices, addressing issues promptly.

  • Organize document filing and retrieval per QC procedures.

  • Generate scheduled and ad-hoc reports.

  • Track and manage third-party inspection invoices, purchase orders, and budgets.

  • Track quality department man-hours.

  • Assist in creating Calibration Certificate Document Packages and revising HRSG quality record packages.

  • Support users with document management software and PDF conversions.

  • Inform supervisor/management of project document submission status.

  • Coordinate the transfer of QC technical documents.

  • Monitor comments management and document control activities for QC and vendors.

  • Ensure timely submission and processing of documentation per project schedules.

  • Track and issue inspection notifications according to schedules.

  • Ensure timely acknowledgment of document transmittals.

  • Properly file all project correspondence.

Other Duties & Responsibilities:

  • Apply industry best practices to improve Mitsubishi Power’s Records Management Program.

  • Collaborate proactively to achieve departmental and company goals.

  • Comply with all safety policies and procedures.

  • Protect confidential information.

  • Perform additional duties as required.
